Manage and Share Session Recordings

After you've recorded a session and converted the recording, then you can store your recordings in your GoToWebinar My Recordings page and share the links with your attendees. You can also distribute a recording and send or upload the recording wherever else you'd like.

If you are using online recording, your sessions will be automatically saved to the My Recordings page.

Access an online recording

When you choose to have your recordings automatically saved online, they will automatically appear on your My Recordings page as soon as the session ends.

Below see an explanation of the various states a recording might be in:

(a) Once a recorded session ends, it will automatically appear on your My Recordings page with the label "Saving... please check back later."

(b) Once a session has been saved, you will see additional options appear. You can preview the recording in your browser, download the .MP4 file to watch it yourself, or process it for sharing with others.

(c) Once you've clicked Share, the recording will be processed for playback. The label "Processing" will appear until the recording is ready.

(d) Once a recording has been processed, you will see all available options enabled (edit, share or delete).

(e) If a recording has been manually uploaded (rather than automatically saved), the options to see the linked training and download the file will be disabled.

Manually upload a recording

When you choose to have your recordings saved to your computer, you will need to manually upload them to your My Recordings page in order to share them with others. You can change your recording settings at any time.

Note: Manual uploads are only supported on Mac OS X 10.6 (Snow Leopard) or later. If you are using online session recording (recommended), you do not need to complete this step as your recordings will be automatically saved to the My Recordings page.

1. First, ensure that the session recording has been converted.

2. Log in at https://global.gotowebinar.com.

3. Click My Recordings in the left navigation.

4. Click Upload a recording > Select a file.

5. Select the converted recording file from your computer. Recordings are saved to the location specified in the Recording Preferences (default is C:\Users\<username>\Documents).

Note: Recording files must be .WMV, .MOV, or .MP4 format and less than 1 GB.

6. The recording will be processed and optimized to play back. You can choose to have an email sent to you once the recording is ready.

7. Once you've uploaded your recording, you can do any of the following:

Preview a recording

You can stream a preview of the recording online to quickly watch it yourself without having to download the entire file or process it for sharing.

1. Log in at https://global.gotowebinar.com.

2. Click My Recordings in the left navigation.

3. Find the desired recording and click the Preview icon .

4. A window will automatically open and play back your recording. Also see Share a recording with others.

Share a recording with others

1. Log in at https://global.gotowebinar.com.

2. Click My Recordings in the left navigation.

3. If you are using online recording, then you will need to process the recording first. Click the Share link to begin. If desired, you can have an email sent once the processing is finished.

4. Once the processing is complete, you can click the Link icon.

5. Click Copy to copy the URL to your clipboard, then paste it wherever you'd like to share it with attendees. With online recordings, you can also click the Facebook, Twitter or LinkedIn icons to share directly on social media.

Send registrants of past webinars to the recording

Archiving your event allows you to link an uploaded recording with a past webinar so that any attendees who register for the webinar after it has been held will automatically be sent to the archived session recording. This essentially turns the registration URL for the webinar into a link to the session recording.

1. Log in at https://global.gotowebinar.com.

2. Go to My Recordings > Past Webinars tab.

3. Click the name of the webinar you wish to archive.

4. Click Edit next to Registration Settings.

5. Click the Registration tab.

6. Under "Recording", enable the "After the webinar ends, new registrants view a recording" check box.

7. Click Select a Recording.

8. Choose your recording and click Add (upload a recording if needed).

9. Click Save.

10. Share the URL of your webinar with registrants as desired.

Attach a recording to a follow-up email

1. First, upload the recorded session. You must wait until a session has ended before you will be able to convert the recording and see the session on the Past Webinars tab.

2. Click My Webinars in the left navigation.

3. Select a webinar to go to the Manage Webinars page.

4. Under the "Share Your Webinar" > "Emails" section, click the Edit link next to either of the follow-up emails (attendees and/or absentees).

5. Enable the "Send follow-up email to attendees" check box.

6. Click the Select a Recording button, then select the desired recording. Remember, if you have not yet uploaded the video, then it will not be listed. Click Add when finished.

Note: If you're an organizer on a corporate (i.e., "offline") account, only the organizer who originally added the recording to the follow-up email will be able to delete it. Co-organizers won't be able to delete a recording that's been added by someone else, but co-organizers can still add a recording to a follow-up email if one hasn't already been added.

See who viewed a recording

When an attendee goes to the recording page, they will be prompted to register first. This means that you can view a list of who has registered to view the recording at any time.

1. Log in at https://global.gotowebinar.com.

2. Click My Recordings in the left navigation.

3. Find the desired recording and click the number link in the "Views" column.

4. You will see a list of each registrant's name and email address. To export it as an Excel file, click Recording Report.

Note: This report will only show the registrant's name and email address. To see the custom registration questions for a registrant who viewed the webinar's associated recording, please run the Registration Report.

Download a recording

If desired, you can download a .MP4 version of your online recordings. This feature is not available for manually uploaded recordings.

1. Log in at https://global.gotowebinar.com.

2. Click My Recordings in the left navigation.

3. Find the desired recording and click the Download icon . Note that this icon will be grayed out if you manually uploaded your recording.

4. The .MP4 file will automatically begin downloading.

Search for a recording

You can locate a specific recording by using the search bar.

1. Log in at https://global.gotowebinar.com.

2. Click My Recordings in the left navigation.

3. Start entering the recording title in the Search box. The list will shorten to show only the results of the search.

Delete a recording

1. Log in at https://global.gotowebinar.com.

2. Click My Recordings in the left navigation.

2. Find the recording and click the Remove icon .

3. Click Yes, delete to permanently delete the recording.
