Update, cancel or delete meetings in Salesforce

The Salesforce user and GoToMeeting organizer who scheduled a meeting in Salesforce can edit meeting details or cancel the meeting. Any changes can be communicated to invitees by email through an updated .ics attachment.

Update a meeting

To edit a GoToMeeting event:

1. In Salesforce, open one of the following tabs: Leads, Contacts, or Opportunities.

2. Locate the scheduled event in the Open Activities section and click the name of the event. The Event Detail page displays.

3. Click Edit. (Or choose Edit under Action in the Open Activities list view.)

4. Edit the meeting details including meeting subject, start and end times, description, meeting notes, and invitees.

5. You can select Copy Invitation to copy the invitation description to the clipboard. This lets you paste the text into an email, blog, etc.

a. A dialog pops up with the text. Click Copy Invitation - on Safari browsers, the button is Select Invitation.

b. Paste the text into the message format of your choice.

6. Choose Add to Outlook to add the current meeting to your Microsoft Outlook calendar. A .ics file is downloaded to your drive. You can save the file as an Outlook event.

7. When all changes are complete, click Save & Send Update save changes and send an updated email invitation with the updated .ics attachment to all invitees.

Cancel a meeting in Salesforce

The Salesforce user and GoToMeeting organizer who scheduled a meeting in Salesforce can cancel the meeting. The cancellation can be communicated to invitees by email through an updated .ics attachment.

To cancel a meeting:

1. In Salesforce, open one of the following tabs: Leads, Contacts, or Opportunities.

2. Click the name to view the respective Event Detail page.

3. Click Cancel Meeting.

5. Click OK to confirm the cancellation.

6. The GoToMeeting session is canceled. A cancellation email is sent to all invitees with the .ics attachment to remove the event from their calendars.

The meeting record remains in Salesforce. (See Delete a meeting below to remove the record.) Meeting data is removed from the Location, Description, and GoToMeeting Organizer fields. The GoToMeeting Status field is updated to Canceled, and the Start Meeting, Cancel Meeting, Copy Invitation, and Sync Meeting History buttons are disabled.

Delete a meeting in Salesforce

1. In Salesforce, open one of the following tabs: Leads, Contacts, or Opportunities.

2. Locate the scheduled event in the Open Activities section and click the name of the event. The Event Detail page displays.

3. Click Delete. (Or choose Delete under Action in the Open Activities list view.)

4. Any invitees are informed of the cancellation by email and the meeting record is removed from Salesforce.
