Create and Manage Materials

Materials are media files and web links that your attendees can download onto their devices. You can use materials to have your attendees review content or complete tasks before, during or after a session.

Create a new material

1. Log in at https://global.gototraining.com.

2. Click Library in the left navigation.

3. On the Materials tab, click Create Material.

4. Select 1 of the options:

  • From computer – Use this option to upload a new file from your computer. Click the Select a file less than 100MB link, select your file, add a description and then click Save.

  • Add link – Use this option to add a hyperlink to a file that is hosted elsewhere (such as a video that is uploaded to YouTube). Add the URL, a title and description, then click Add Link.

5. The material will automatically be saved to your Library, where you can access it at any time and add it to any future sessions.

Add materials to a session

You can add many materials as desired to your session.

1. On the Manage Training page, click Edit next to "Materials".

2. Click Add Material, then select 1 of the options:

  • From computer – Use this option to upload a new file from your computer. Click the Select a file less than 100MB link, select your file, add a description and then click Save.

  • From library – Use this option to select an existing file that has been previously uploaded and is now in your Library. Select the check boxes of the previously uploaded materials, then click Add Materials.

  • Add link – Use this option to add a hyperlink to a file that is hosted elsewhere (such as a video that is uploaded to YouTube). Add the URL, a title and description, then click Add Link.

3. The material will be added to the Materials page. Click the Settings icon next to it to specify when it should become available to attendees, as follows:

  • Upon registration – If you select this option, then attendees will see a section on the Registration Confirmation page (and in the Confirmation email) that directs them to review the materials before the session. This link will take them to the Attendee Materials Page.
  • During the training session – If you select this option, then the material will not be displayed on the Attendee Materials Page until after the session's start time. Instead, attendees will see a Materials pane in their Control Panel or app toolbar. They can download the Materials from there.

  • After the training session – If you select this option, then the material will not be displayed on the Attendee Materials Page until after the session's end time.

Share materials with attendees

You can share materials with attendees in multiple ways. This is largely dependent upon the availability settings that you specify for each materials.

  • Include in the Confirmation email
    You can have a link to the Attendee Materials page automatically included in your session's Confirmation email. To do so, select the "Upon registration" check box when modifying the material's availability.

  • Display during the session
    You can have materials show up in a special Materials pane of the Control Panel or toolbar for your attendees. To do so, select the "During the training session" check box when modifying the material's availability.

  • Include in the Follow-Up email
    You can have a link to the Attendee Materials page automatically included in your session's Follow-Up email. To do so, select the "After the training session" check box when modifying the material's availability.

  • Share the Attendee Materials page at any time
    The Attendee Materials Page displays the materials uploaded to a session. Depending on the settings specified on the Materials page, some materials may not show up until after the session's start or end time (or may disappear once a session is over). Anyone with the direct URL can access the page. To access the URL, click the Attendee Materials Page link under Manage Training > Materials [Edit].

Edit or remove materials in a session

1. On the Manage Training page, click Edit in the Tests section.

  • To edit the material, click its title.
  • To remove the material, click the Delete icon next to it. Caution – this action cannot be undone!
