Update users' product settings

Product settings are the attributes of each application – GoToMeeting, GoToWebinar, GoToTraining, and OpenVoice – that can be modified for as a default for your account, or for any user or set of users. This page provides a detailed listing and description of the settings.

For any new account all settings are enabled and active. You can modify the account-level settings to create a default set, especially for settings such as the long distance telephone numbers for conferences, that are company-specific. You can also create settings templates that can be applied when you add users.

Apply and maintain product settings

If you apply product settings using a template during the Add user process, you can assign a set of new users into a group with all the same product settings. Making changes to the whole group ensures that the settings are consistent. You can also make product setting changes to any selected set of users. Or, you can make settings for any individual user.

When you make settings updates to groups, selected sets of users, or individual users you overwrite the prior settings. For changes to more than one user, you cannot see the prior settings.

NOTE: Each setting you modify and save clears the user selection.

Audio settings

Audio is configurable or you can use your own conference phone numbers. The audio option is applied when an organizer schedules an event (meeting, training, webinar, etc.) and is included in the event invitation email. You can set audio options for all organizers, groups of users, for specific users, and for specific meetings.

GoToMeeting audio options

VoIP – Voice over Internet Protocol (VoIP) is the default Internet audio and is free to all users. Your participants can use their device microphone and speakers for audio. The invite for the event includes a URL that will use VoIP by default.

Long distance number – A number or numbers that your participants can use to call in. The participant's phone service may charge them for the call. You can choose which countries to provide long distance numbers for your attendees. The invite will include the numbers by country.

Toll-free number – OpenVoice is integrated with GoToMeeting/Webinar/Training. This means that you can choose tool-free numbers for specific countries for participants to call. You pay the charges for the toll-free numbers ensuring your participants are not charged for the call. The invite will include the numbers by country. Call Me - A callback to United States or Canada numbers. Allows a user to simply answer their phone to join a meeting.

Private audio options

Use my own conference call service – If you have a private conference calling service such as Grasshopper, you can enter the number or numbers from your conference service. The invite will include the numbers.

Features settings

Record meetings – Sets whether the organizer can record sessions. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event.

Let participants share webcams during meetings – Sets whether organizers and attendees can share their webcams during the session. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event.

Attendees without the desktop app join in a web browser – Sets the default launch behavior for the organizers’ sessions. If the GoTo session does not detect an associated GoTo app installed on the user’s device, the session will launch in a web browser. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event. If Off, the organizer can turn the feature on for specific events.

Display the Attendee List during meetings – Sets whether the list of attendees displays during a session or not. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event.

Grant keyboard and mouse control to attendees – Sets whether the organizer can allow attendees to interact with a shared screen using their mouse and keyboard. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event.

Let participants chat during meetings – Sets whether the chat window is available during sessions. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event.

GoToWebinar settings

Save recordings online – Sets whether a training recording is stored locally to the organizer’s device or online in the My Recordings page in the organizer’s GoToTraining account page. Options are On or Disabled. Set to On, the training recordings are stored locally. On Off, the recordings are stored online. If disabled, organizers cannot use the feature or modify the setting for a given event.

Let participants share webcams during training sessions – Sets whether organizers and attendees can share their webcams during the session. Options are On or Disabled. If disabled, organizers cannot use the feature or modify the setting for a given event.

GoToAssist settings

Access unattended computers and installers - Sets whether users can log onto machines that have GoToAssist unattended support set up. These are machines where there may be no user at the time of access.

File Transfer - When enabled, users can transfer files to and from a customer's Windows or Mac computer during attended and unattended support sessions. This feature uses the same firewall and proxy-friendly connection techniques as screen sharing, so there are no restrictions on the type or size of files that can be sent.

Remote Control - Allows users to use the keyboard and mouse on a remote computer.

OpenVoice settings

Audio settings

OpenVoice audio is always sent over the Public Switched Telephone Network (PSTN) and so is either long distance or toll-free. The audio option is applied when an organizer schedules a conference and is included in the invitation email. You can set audio options for all organizers, groups of users, for specific users, and for specific conferences.

OpenVoice audio options

Long distance number – A number or numbers provided that your participants can use to call in. The participant's phone service may charge them for the call. You can choose which countries to provide long distance numbers for your attendees. The invite will include the numbers by country.

Toll-free number – OpenVoice is integrated with GoToMeeting/Webinar/Training. This means that you can choose tool-free numbers for specific countries for participants to call. You pay the charges for the toll-free numbers ensuring your participants are not charged for the call. The invite will include the numbers by country.

Conference management settings

Record conference – Organizers can record up to 4 hours of any conference. OpenVoice generates a single recording file even if the organizer stops and restarts the recording multiple times during a conference. These recordings are stored on our servers in an .mp3 format for up to 12 months. Organizers can listen to the recording by clicking the recording date on the Recordings page list from their OpenVoice account on the web. Options are On or Disabled. Set to On, organizers can choose to record their conferences. If disabled, organizers cannot use the feature or modify the setting for a given event.

Participants enter conference muted – To maintain a more orderly launch of a conference call, you can mute participants until they or an organizer explicitly unmutes them. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces muted entry, Disabled forces unmuted entry. Organizers cannot change Required or Disabled settings.

Conference can continue after organizer leaves – This determines whether organizers can allow their attendees to continue with the conference after their departure. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required allows conference continuation, Disabled forces conferences to end when the organizer leaves. Organizers cannot change Required or Disabled settings. Note: When the organizer sets this to Yes on the OpenVoice website, they can specify a custom value from 1 - 60 minutes to allow the conference to continue after he/she has left. IMPORTANT: The conference ends either when time runs out or the last participant disconnects from the conference. Any toll-free charges continue to accrue.

Security code for each conference – Organizers can secure the conference by setting a security code in the OpenVoice account on the web that the organizer and their attendees must provide to enter a conference. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces organizers to use a security code, Disabled removes the capability. Organizers cannot change Required or Disabled settings.

Client Charge Code – This adds an internal billing code of 2 to 20 numeric digits for each conference call. The organizer can use the default charge code (entered in the Settings page) or enter a new charge code. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces organizers to use a client charge code, Disabled removes the capability. Organizers cannot change Required or Disabled settings.

Manage participants who call in early – Organizers can allow two or more participants who are on the call before the organizer to join the conference. Options are Required – the organizer cannot change the setting - and On – the organizer can modify the setting as a default for their conferences or for specific calls. The specific behavior is managed with the Wait on hold settings:

  • Start with organizer and one participant
  • Start with organizer
  • Start with any two participants

Attendee limit – Administrators can configure an organizer’s conference room to support between 25-500 individual callers while creating the organizer’s account.

Organizer PIN – You can add a 4 to 20 digit PIN that organizers must enter, along with the conference code, to start a conference. The PIN can serve as a default for all organizers, or as an organizer-specific PIN. The PIN secures your conferences against use by unauthorized users.

In-session announcements settings

Prompt participants for names when joining – If set, when participants join the conference, they are prompted to enter a name that will display in the participant list. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces the prompt to occur, Disabled removes the capability. Organizers cannot change Required or Disabled settings. Note: In the organizer web app, setting this feature to Yes/ No will determine the arrival/ departure announcements. When the feature is set to Yes, the participant’s recorded name is displayed. When the feature is set to No, the arrival of a participant is indicated by a beep.

Announce number of participants – As participants enter the conference, you can enable an announcement of the number of participants for all participants, for just the organizer, or for no one.

Announce arrival of each participant – This enables an announcement when a participant joins. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces an announcement with each new arrival, Disabled removes the capability. Organizers cannot change Required or Disabled settings.

Announce departure of each participant – This enables an announcement when a participant leaves. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces an announcement with each departure, Disabled removes the capability. Organizers cannot change Required or Disabled settings.

Emails settings

Automatically send attendee report to organizer – This compiles and sends an attendee report to the organizer’s email after the conference ends. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces the report to be sent, Disabled removes the capability. Organizers cannot change Required or Disabled settings.

Automatically send recording link to organizer – This sends the recording link to the organizer’s email after the conference ends. Options are Required, On, Off or Disabled. On and Off set the default behavior, but allow an organizer to modify this per conference or as a default in their own settings. Required forces the link to be sent, Disabled removes the capability.
